Tips for Increasing Email Engagement
While email is great for fast communication, a flooding inbox with irrelevant content can be a burden. You can increase engagement of emails sent to coworkers or clients by remembering the following tips.
Rewrite and proofread. By drafting the point you want to convey in your email and rewriting it, you can make sure all important information is included, eliminate unnecessary words, and pick up on any spelling or grammatical errors. Proofreading the final version is absolutely essential.
Enter recipients LAST! There’s almost nothing worse than accidentally sending an unfinished, messy email. There’s no going back! To overcome this, wait to add email addresses until you’re absolutely ready to hit send.
Understand your audience. According to a survey, different age groups want to be perceived differently through email. For example, younger demographics want to appear educated, while older generations want to seem authentic. It’s important to know who your email is going to so that you can try and appeal to these characteristics and more.
Keep it concise. Your colleagues, and clients especially, are likely to skim a long email – if they read it at all. Everyone’s time is valuable, so keep your emails short and to the point. If it’s something important that needs to be discussed in greater detail, schedule a phone call or meeting!
Use humor wisely. Jokes can brighten up the sometimes mundane workday, but it’s important to remember that not everyone has the same sense of humor! Save it for those who you know personally, or if you can gauge your email recipient based on their social media profiles.
Subject lines and signatures. There are several things that can trigger someone’s spam filter- an empty subject line and links in an email footer are among them. Adding a subject line can not only avoid this, but it can also come in handy for future email searches. Your signature should include your name, contact information, title, and possibly the logo of the company you work for. Anything else is excessive and can induce long scrolling and annoyance on the end of the reader!
Be professional. Above all, professionalism is key. You want colleagues to respect you, and clients to trust you. Always address the recipient, conclude with “Thank you,” or “Best,” prior to your signature, and refrain from the use of smiley faces and other emoticons.
Email engagement ensures that readers are aware of everything presented in the email. If it’s to a client and you’re offering a product or service, they’re more likely to request further information if they’re engaged.
